MSG is seeking an outgoing, detail-oriented, and professional Intake and Recruitment Manager to lead our Intake Team. This is an excellent opportunity for a highly organized individual with management experience who thrives in a fast-paced, mission-driven environment and wants to use their leadership and customer service skills to make a lasting impact. The Intake and Recruitment Manager will oversee the daily operations of MSG’s multi-step, multi-day intake process across all programs, ensuring a consistent, accurate, and welcoming experience for every applicant from initial contact through enrollment.
The Primary Responsibilities of the Intake and Recruitment Manager include:
Intake Team Management
- Manage a two-person Intake Team, ensuring clear task prioritization, achievement of program goals, and high customer service standards.
- Facilitate weekly team meetings and individual check-ins to support staff development, address challenges, and provide coaching to ensure excellent service delivery.
- Provide guidance and support in de-escalating difficult customer service situations, modeling professionalism and empathy.
- Ensure accurate and timely data entry in Salesforce and Google Docs/Sheets.
Intake Strategy & Performance
- Monitor intake performance, identify bottlenecks, and adjust service strategies to meet enrollment and program goals.
- Collaborate with the Director of Programs to develop and implement improvements to intake workflows and recruitment processes.
- Track and report on intake metrics to the Leadership Team, including progress toward goals, obstacles to success, and recommendations for improvement.
Recruitment & Community Engagement
- Represent MSG at community events, job fairs, and outreach activities to promote programs and generate new applicant leads.
- Build and maintain relationships with community partners and referral sources to strengthen recruitment pipelines and increase awareness of MSG’s services.
- Partner with the Outreach & Communications Manager to coordinate online advertising and produce effective recruitment materials that reflect MSG’s brand and goals.
Qualifications:
- Associates' or Bachelor's degree required
- A minimum of two years’ experience managing individuals or teams
- Three years or more of experience in customer service, call center/telemarketing, office management, or recruiting
- Outstanding customer service skills on the phone, in-person, and via email correspondence
- Strong administrative skills, with a typing speed of at least 45 - 55 words per minute
- Extensive experience with MS Office, Excel, Word, Gmail, Google Docs/Sheets. Experience with Canva and/or Adobe products is a plus.
- Ability to solve problems and respond quickly while managing multiple priorities
- Experience with data entry and data analysis to meet and exceed goals and metrics
- Excellent public speaking and presentation skills
- Previous experience using Salesforce is a plus
- Occasional evening or weekend work required (advanced notice provided)
- Must have personal transportation that can be used throughout the workday

Location: Tulsa OK, On-Site 8:30 am - 5:00 pm
Salary: $60,000 - $65,000/year based on experience
