Workforce Intake Assistant

Tulsa, OK
Full Time
Mid Level

Ready to turn your customer service skills into a real career?

If you have spent a year or two in retail, food service, hospitality, or a busy office, you already know how to handle challenges with a smile. You know how to talk to people, how to multi-task, and how to keep your cool when five things happen at once.

But maybe you’re looking for something more. Maybe you want a job where your hard work positively impacts your community, where you have stable hours, and where someone is actively looking to develop and promote you.

Welcome to Madison Strategies Group. We are looking for our next Workforce Intake Assistant—a role that can be a launchpad for your professional career.

Why This Role Matters

As our Workforce Intake Assistant, you are the face and voice of our workforce programs. For individuals looking to change their lives through education and better employment, you are their very first impression. You will provide the encouraging, organized, and professional welcome they need to feel confident about their next steps.

We view this as a growth position within our organization. We will teach you the ins and outs of workforce development, data tracking, and community impact.

What You’ll Be Doing (The Day-to-Day)

  • Greet a diverse group of applicants, visitors, and customers in person, making them feel supported from the moment they walk in.
  • Reach out to prospective customers via phone, text, and email to share program details, answer questions, and get them excited to start.
  • Use Salesforce and online tools to schedule applicants for orientations and interviews. (Don't worry, we'll train you on Salesforce!).
  • Help applicants complete their intake paperwork and administer basic computer and hands-on assessments.
  • Deliver weekly, small-group program orientations to walk applicants through what we do.
  • Maintain daily applicant records in Google Sheets, organize digital documents, and collaborate with the team on how to make our processes even better.

Who You Are (The Right Skill Set)

We are looking for potential, grit, and the right baseline skills. You’ll be a great fit if:

  • You have at least 1+ years of experience in customer service, retail, food service, a call center, or an office setting. You understand workplace professional norms.
  • You possess outstanding communication skills (in person, on the phone, and over email) and enjoy helping others succeed.
  • You are comfortable with Gmail, MS Office, and Google Drive, and you can type at least 40 words per minute.
  • You can handle interruptions, switch gears quickly, and keep yourself organized.
  • You want to be coached, developed, and given more responsibility over time.
  • You have a High School Diploma, an Associate’s or a Bachelor’s degree, or military experience
  • You have a reliable personal vehicle for occasional daytime errands, and the flexibility for occasional evening/weekend hours with advanced notice.

What’s In It For You?

  • Salary: $40,000 / year (Full-Time, 40 hours/week, in-person)
  • Benefits: Competitive health insurance, a 401(k) plan, and generous paid time off (PTO) so you can actually disconnect.
  • This position is historically a stepping stone for promotion within Madison Strategies Group. We want to help you build your career here.
